How Foreign Visitors Can Book Hotels and Check In with a Passport in China
When booking accommodation in China, confirm the property’s exact name and address, whether it accepts overseas guests, and its payment and cancellation terms. Check in with the passport used for the booking; the hotel is responsible for registering your stay.
Permission to Accept Foreign Guests Does Not Mean Every Property Is Ready
The Ministry of Commerce and six other authorities have made clear that platforms and accommodation operators must not unlawfully post restrictions such as “no overseas guests,” or impose improper qualification requirements that prevent operators from hosting them. In practice, small properties may still fail to process a stay because staff are unfamiliar with front-desk procedures, entering identity documents, overnight staffing, or accommodation registration. If you will arrive late at night, are staying in a remote area, or have booked non-standard accommodation, contact the property directly after booking. This can reveal problems earlier than arguing at the front desk.

The Type of Accommodation Determines How Registration Works
Licensed hotels generally scan passports and complete accommodation registration at the front desk. Serviced apartments, platform-listed homestays, and private rentals may operate and register guests differently. A listing described as a “hotel” does not necessarily have a twenty-four-hour front desk, while “apartment” does not necessarily mean foreign guests cannot stay. What matters is the actual operator, the check-in method, and the local registration arrangement.
A platform label stating that foreign guests are accepted is useful, but save the booking page and verify it with the property. The platform, brand customer service, front desk, and host may be separate parties. If a problem occurs, establish who collected the payment, who confirmed the booking, and who is actually providing the room.
Checklist Before Booking
Verify the hotel’s full Chinese name, branch, city, district or county, and street address.
Confirm the number of guests, any children, bed type, and the identity-document requirements for each guest.
Ask whether the front desk will enter the foreign passport details and complete accommodation registration.
Confirm the latest check-in time, late-arrival contact details, and the conditions for holding the booking.
Read the rules for prepayment, payment at the property, deposits, taxes and fees, cancellation, and no-shows.
Confirm whether overseas bank cards, mobile payments, and cash in renminbi are accepted.
Save the booking number, property telephone number, and screenshots of written confirmation.
How to Check In at the Property
Give the front desk the guest name on the booking and the valid passport of every person actually staying. Check the arrival and departure dates, room type, breakfast, deposit, and payment amount before signing or confirming the accommodation details. Hotels must register foreign guests and submit the information in accordance with hotel-industry rules. If you will later need documentation for a visa, residence, or another matter, ask how to obtain proof of accommodation or a registration record.
Show the booking and original passport, not only a photograph of the passport.
Ask the front desk to check the spelling of each name, passport number, and every guest.
Confirm whether the deposit is charged or preauthorized, and when it will be released.
Inspect the room and any existing damage; photograph and report it immediately if necessary.
Keep the key-card sleeve, invoice or payment receipt, and front-desk telephone number.
If you extend the stay, change rooms, or move to another property, confirm that the accommodation registration is updated as well.
What to Do If You Are Refused at Check-in
Ask the front desk for the exact reason: the booking cannot be found, the rooms were oversold, staff do not know how to enter the document, the local registration system is down, or the property has misunderstood the policy. Keep the booking, written messages, a photograph of the property sign, and proof of payment. At the same time, contact the platform and request confirmation with the property or equivalent alternative accommodation. Do not cancel the booking yourself until an alternative has been arranged, because voluntary cancellation may change who is responsible for the refund.
Document-entry problem: ask the front desk to contact the property manager or the local public security authority.
Platform label differs from the property’s position: ask the platform to document the case and handle an alternative and any price difference.
No one available late at night: use the saved property telephone number and the platform’s emergency support.
Possible unlawful restriction on overseas guests: preserve evidence, then use the local 12345 service or the published channels of the culture and tourism or commerce authority.
Personal safety concern or passport withheld: demand its immediate return and call 110 in an emergency.
Registration Is Different in a Private Home
If you stay with friends or relatives, in a long-term rental apartment, or anywhere other than a hotel, do not rely on automatic hotel registration. The law requires you or the host to register with the public security authority for the place of residence within 24 hours of arrival. Some provinces, autonomous regions, and municipalities are piloting online registration through the National Immigration Administration; elsewhere, use the local online or in-person channel. Before booking a private property, confirm that the host can provide the housing documents and cooperate with registration.
Check-out and Deposits
Before checking out, verify extra charges, damage fees, and the handling of the deposit. The release of a bank-card preauthorization may not appear immediately, so request a cancellation or settlement receipt; count a cash deposit when it is returned. If you need an invoice, proof of accommodation, or an itemized bill, ask before leaving. Trying to obtain it remotely later, across languages, is usually slower.
